ASL shares personal information only where reasonably necessary for the purposes described in this Policy, where authorised by you, or where otherwise permitted or required by law.
Where an organisation arranges or pays for a service, we may provide it with information needed to manage the booking, verify service delivery, process billing and resolve related enquiries.
The information provided will depend on the service and the organisation's role. We do not automatically provide every detail disclosed during an interpreting session to the organisation that pays for the service.
We may provide an assigned interpreter or translator with the information reasonably necessary to perform the assignment, such as the language, service type, time, location, relevant instructions and contact details.
We seek to limit the information shared to what is necessary for the assignment. Access to confidential information must be handled in accordance with applicable law and relevant contractual or professional confidentiality obligations.
Where relevant to a booking, we may share appropriate details about the assigned interpreter or translator, such as their name, relevant professional credentials and the information needed to coordinate the service.
We may disclose information to service providers who support our operations, including providers of:
Website hosting, cloud storage and platform infrastructure.
Telephone, video conferencing, IVR and VoIP services.
Payment processing and financial administration.
Identity, credential and background-check verification.
Customer support, communications, security and technical maintenance.
We take reasonable steps to ensure that these providers handle information appropriately and protect it in accordance with applicable requirements.
We may disclose personal information where required or authorised by law, under a court order, to a regulator, or where otherwise legally permitted to protect safety, investigate unlawful activity or establish, exercise or defend legal claims.
We do not sell personal information.
ASL recognises that interpreting and translation assignments may involve confidential personal, medical, legal, financial or other sensitive information.
We aim to limit access to booking and assignment information to people who need it to deliver or administer the service. Interpreters and translators engaged through ASL may be subject to applicable professional confidentiality obligations and contractual requirements.
Customers should avoid including unnecessary sensitive information in booking notes. Where detailed documents or information must be provided for an assignment, they should be shared through an appropriate secure channel.
This Policy does not override any legal disclosure obligation or a lawful requirement to provide information.
Payments may be processed through third-party payment providers.
ASL may retain transaction details, invoices, payment status, refunds and payout records. Full payment-card details are handled according to the arrangements and security practices of the relevant payment provider.
Unless our systems and provider arrangements expressly support it, ASL does not claim to store full payment-card numbers or security codes on its own systems.
ASL may use essential cookies and similar technologies to maintain login sessions, protect accounts, remember preferences and support platform functionality.
If we use analytics or other optional tracking technologies, these may collect information about how people use our website. Where required, we will provide appropriate notices and choices for non-essential cookies or tracking technologies.
You can manage cookies through your browser settings, although disabling essential cookies may affect some website features.
ASL may use third-party technology providers whose systems or support personnel are located in Australia or overseas.
Before publishing this Policy, ASL must identify whether personal information is likely to be disclosed to overseas recipients and, where required, identify the relevant countries.
Where applicable Australian privacy law governs an overseas disclosure, ASL will take the steps required by that law to protect the information.
Information may be stored in cloud systems operated by our service providers. The location of storage and access arrangements depend on the providers and services ASL uses.
ASL takes reasonable technical and organisational measures to protect personal information against misuse, interference, loss, unauthorised access, modification and disclosure.
Depending on the system and service, these measures may include access controls, authentication, staff permissions, secure transmission, monitoring, backups and appropriate contractual safeguards with service providers.
Access to sensitive information should be limited to authorised people who require it for their duties.
No internet transmission or electronic storage system can be guaranteed to be completely secure. We will respond to suspected data breaches in accordance with applicable legal obligations.
ASL retains personal information only for as long as reasonably necessary for the purposes for which it was collected, including service delivery, account administration, legal compliance, accounting, insurance and dispute resolution.
Retention periods vary according to the type of information and applicable legal requirements.
Interpreter and translator application records may be retained while a profile is active and for an appropriate period afterwards. Identity documents, screening records and other sensitive documents should be reviewed periodically and deleted or securely destroyed when no longer required, subject to legal obligations.
Financial, booking, call metadata and other records may need to be retained for statutory, contractual or dispute-resolution purposes.
When personal information is no longer required and there is no legal reason to retain it, ASL will take reasonable steps to destroy or de-identify it securely.
You may request access to personal information ASL holds about you and ask us to correct information that is inaccurate, incomplete, out of date or misleading, subject to applicable law.
You can update certain information through your account settings, where this functionality is available.
For other requests, contact us using the details in Section 17. We may need to verify your identity before responding. If we refuse a request where the law permits refusal, we will explain the reasons and any available complaint options as required.
Deleting an account does not necessarily mean all associated records can be immediately erased. ASL may need to retain certain information to meet legal obligations, resolve disputes, maintain security or complete financial records.
If you believe ASL has mishandled your personal information, you may contact us and explain your concern.
We will acknowledge and investigate your complaint, request further information where necessary and respond within a reasonable period.
If you are not satisfied with our response, you may be able to complain to the relevant privacy regulator. Depending on the issue and the laws that apply, this may include:
The Office of the Australian Information Commissioner (OAIC) for matters within its jurisdiction.
The Victorian Health Complaints Commissioner for matters concerning health information within its jurisdiction.
You should ordinarily raise your concern with ASL first, unless the relevant regulator's process allows otherwise.
ASL's services may be used in circumstances involving children or people who need assistance communicating with an organisation.
Where we collect personal information about a child or another person who cannot appropriately provide consent themselves, we will take reasonable steps to comply with applicable law and any relevant consent or authority requirements.
Customers should provide only the information necessary to arrange the service and should ensure they are authorised to provide information about another person where required.
ASL may use software to help identify suitable interpreters or translators based on factors such as language, availability, service type, qualifications, location and stated preferences.
The purpose of this functionality is to facilitate service delivery. Matching outcomes may depend on the information provided and the availability of suitable service providers.
If ASL introduces automated decisions that are subject to additional transparency requirements under applicable privacy law, we will update this Policy to explain the relevant types of personal information used and the types of decisions made.
ASL may update this Privacy Policy to reflect changes in our services, technology, legal obligations or information-handling practices.
The latest version will be published on our website with its effective or last-updated date. Where required by law, or where a change materially affects how we handle personal information, we will take appropriate steps to notify affected individuals.
